X2CRM Workflow

X2Workflow ensures the most user-friendly method for automating tasks while needing only little technical knowledge. Workflow is fast, simple and straight-forward to use: only needing to simply drag an “Action” to a respective “Trigger”, and after filling out the required fields, is ready to use and does the job wonderfully. With being able to do tasks such as managing records and contacts, handling campaigns, tracking location, and so much more, you can automate any task that you can imagine for your organization.


 X2Flow Marketing Workflow Automation

Automating tasks increases employee productivity to extend the reach of your organization without hiring and training new employees. X2CRM marketing automation, X2Flow, is an intuitive workflow designer and engine where you can leverage all the data in X2CRM to model simple, yet sophisticated flows incorporating a variety of actions and conditions. Drop-down menus and drag-and-drop capabilities are used to establish ‘triggers,’ along with associated conditions that must be met before any flow is executed. The flow actions will be automatically performed, allowing your team to focus on the more creative aspects of marketing.

 Manage Records

Create, edit and delete records based on certain criteria. This allows the user to handle record tasks automatically with simple triggers such as logging in, or any trigger available. Use cases can be created where a contact may need to be created when a campaign email is opened, or a record being deleted because the record unsubscribed to a campaign. With so much variety in the different types of workflows created, a record may never need to ever be created manually again.


Location Services

Using the Google API for location, Workflow can accurately track location as well as alerting you whenever a record or contact is near your location. This can allow you to know if people are nearby and want to get coffee with those records, or simply want to do analytics of where your records are located. The locations can be given via activity feed, email, or SMS message based on which service you have.

Asynchronous and Conditional Tasks

Create complex and very powerful workflows using three important tools: the “split”, “wait” and “conditional” actions. With this, Workflow can be customized, , along with accomplishing complicated tasks.  The “split” action splits the Workflow into two asynchronous Workflows, each having the power of one Workflow. The “wait” action waits for a certain amount of time to do another action. Lastly, the “conditional” action splits the Workflow into two, but chooses one path based on specified criteria. Each of these actions can allow Workflow to be personalized and powerful.

Users can easily create a collection of targeted campaigns for contacts grouped by different Tags or Contact Lists and successful campaigns can then be re-used as templates for future campaigns.



With X2CRM Tags you can easily group and categorize records in any way you like, so you can effectively communicate or target email campaigns to specific contact segments. For example, you might want to tag leads from a recent #tradeshow so you can easily follow-up with them, or tag customers who open a #supportCase so you can provide them with the best possible service. Quoting and Invoicing

Generating and sending sales quotes and invoices is often a necessary but time-consuming process. X2CRM simplifies the process so that in a matter of minutes any authorized individual can create and send professional-looking quotes and invoices for prospects and customers. Existing templates can be selected to ensure all customer correspondences are consistent with your corporate branding. Quotes and invoices can be viewed by others in your organization so everyone has a unified view of the customer’s information. Add line items from your products module and make adjustments on the fly.


Contact Interaction History Chart

New in the latest update of X2CRM is the action history chart. This component offers a complete overview of all interactions with a contact at a glance. You can view events like calls, emails, or web activity in a simple graphic interface that demonstrates the level of activity and interactions the customer has been involved in. Of course, as with everything in X2CRM, the charts are customizable, allowing you to edit and view which types of data you would like to see information on, as well as modifying its time frame.


Alerts and Notifications

You can set up alerts so you receive real time notification when, for example, someone completes an assigned action or a high-priority contact is on your website. Action History Attachments

Using the Google Cloud Platform APIs, you are able to attach a wide range of media attachments to records in mobile. Not only are you able to attach your current location to a record’s action history to let them know where you are, you can also attach files from your mobile device. There is also an option to attach an audio note by recording an audio message and, by using Google’s Cloud Speech API that uses Machine Learning, converts it to a text.

Check-in Posts

The power to check-in quickly to let people know where you are. You can seamlessly create a check-in post by attaching your location in an activity post or using the check-in button readily available wherever you are in the mobile app.
